To request a reservation, please contact the Design Group, CDR or d.school staff member associated with your activity and provide the following information:

- Event name
- Event date
- Contact person's name
- Name of the Design Group or faculty member, or d.school faculty or staff member who is hosting the reservation
- Reservation start and end time (allowing for set-up and clean-up)
- Event start and end time
- Approx # of attendees
- Will food be served?
- Will alcohol be served?  If so, who will be checking IDs?
- Clean-up arrangements (see below)


Clean-up Requirements:
Clean-up and furniture reset must be accomplished by reservation end-time. Here are the reset instructions for the Atrium and Grove. They are also posted on the wall.

Events with >50 guests:
A work order is required if over 50 guests are anticipated. Work orders should state the following:

sweep, mop, clean tables, clean kitchen, empty trash.

If you are serving beverages in bottles or cans, your work order must include emptying the glass/plastic recycling bins.

Events with 50 guests or less:
Organizers of events for less than 50 people are not required to do a work order as long as they clean up after themselves, including making sure the recycling bins are not full (can distribute among the various bins in the building as needed), and taking trash to the dumpster. 

Leftover food may be left on the kitchen table for others to share, following these instructions:
1)  Write a "compliments of" note to let everyone know who to thank, and stating the time that the food was served.
2)  The person leaving out the food is responsible for clean-up.  Perishable food must be refrigerated or tossed within 2 hours of being served.  Non-perishable food may be left out for 4 hours.  Anything that remains after that should be tossed.

 

Posting fliers & posters:

Great places to post any time:
- bulletin board across from 114
- bulletin board in the corner by the stairs, kitty-corner from 114
- chalk/magnetic board in the kitchen
- wall above the drinking fountains
- at your own office/workspace

Same-day-only posting to exterior doors:
- fliers giving directions to an event being held that day
- "today is the last day to sign up for..."

Please remove all fliers/posters when your event is over.

Student groups requesting Work Orders:

For Staff: Please use the following format when making Webcal reservations:

In the Subject field put
        the location of the event, the name of the event, the start and stop time of the event itself (not the set-up and clean-up time)

In the Location field, put 550 Atrium, 550 Grove, 550-162, etc.

Click on the More Details button, and in the large (unlabled) field at the bottom of the entry panel, put
         the faculty host's name, contact person's email address, admin email

         whether food will be served
        approximate number of attendees
        anticipated disruption level: (low, medium, high)

        any other details that will be helpful

Example: 

GROVE: ME310 TTeam Meeting, 11 AM - 1 PM

Notes:  Faculty=Leifer@stanford.edu, admin=hundal@stanford.edu.  food served, 10 people, anticipated disruption:  low

Then notify the Bulding 550 community: 
After making a reservation for an event in the Grove or Atrium, please send a message to 550events at stanford dot edu describing the event, including number of attendees, anticipated noise level, whether food will be served, and other information that will be helpful in getting an idea of the event.
